Shipping apostilled documents abroad with DHL Express: tracking, scanbacks and customs

An apostilled original has to leave New Jersey for another country. Why DHL Express is usually the first choice, what a scanback is and why it goes out before the package, how tracking works end to end, customs paperwork for documents, and delays to plan for.

Once a document has been apostilled in New Jersey, it still has to travel, apostille attached, to wherever it is needed. DHL Express is usually the first choice for that trip because of its door-to-door tracking and broad international reach, but the apostille adds a few things worth planning for before the label goes on.

What makes an apostilled original different to ship

An apostille is a certificate physically attached to the document it certifies. The two travel as one set, and separating them, even to make a thinner envelope or to photocopy the pages, can make the whole thing unusable on arrival. Before shipping, check that the apostille is still attached, the staple or seal has not been disturbed, and every page is present in the right order. A replacement apostille means going back through the state process, so a few extra minutes of care at this stage is worth it.

Why DHL Express specifically

DHL Express carries documents door to door under one tracking number, with a consistent network across Africa, the Middle East, Europe and Asia. For an apostilled original, that single chain of custody matters more than for an ordinary letter: fewer handoffs mean fewer chances for the apostille to be questioned or the envelope to be mishandled. DHL Express also offers a range of service levels, so the choice between a faster and a slightly slower option usually comes down to the recipient's deadline rather than the distance.

The scanback: what leaves before the package does

A scanback is a full color scan of every page, front and back where there is a seal or stamp, sent to the recipient before the original is packed. It serves two purposes. First, the recipient can often start their own process, for example submitting a copy to a registry that accepts it while the original is in transit, instead of waiting idle for days. Second, if anything about the package is ever questioned, the scanback shows exactly what was sent and in what state. Nothing should leave New Jersey without a scanback on file first.

Tracking a DHL shipment from pickup to delivery

A DHL Express tracking number updates at each major step: pickup, departure from the originating facility, arrival in the destination country, customs clearance, and final delivery. Share the number with the recipient as soon as the package ships, and check it yourself rather than waiting for a delivery notification that may not reach every inbox. If the tracking stalls at the customs step for more than a day or two, that is the moment to contact DHL directly rather than waiting to see what happens.

Customs paperwork for documents, not goods

Documents clear customs under a simpler category than merchandise, but the paperwork still has to be accurate. Describe the contents plainly, for example "notarized and apostilled legal documents, no commercial value," rather than a vague label that can trigger extra questions. Keep documents separate from any other item in the same shipment, since adding a gift or a drive changes how the whole package is classified. Specific customs requirements vary by destination country and are set by that country, not by TRSG, so when in doubt the carrier's own guidance for that destination is the place to check.

Delays to expect, honestly

Even with an express courier, a few things can add time: customs holds while an officer reviews the paperwork, remote delivery addresses that need a second attempt, and weather or local disruptions outside anyone's control. None of this is predictable far in advance, and no fixed number of days can honestly be promised for international delivery. The practical response is to build in a buffer before any real deadline and to send the scanback early, so a delay in the physical package does not have to mean a delay in everything that depends on it. Our guide on sending original documents abroad from the U.S. walks through carrier choice and addressing in more detail for shipments that are not apostilled.

Packing the envelope so nothing shifts

Use a rigid envelope or a thin cardboard mailer rather than a plain paper envelope, especially when the apostille adds extra pages. Keep the document flat; folding a seal or an apostille ribbon can crack it. Write the recipient's name exactly as it appears on their ID, since DHL sometimes asks for ID at delivery, and include a phone number that the courier can reach on short notice before attempting delivery.

FAQ

Questions we hear often

Why DHL Express instead of FedEx or USPS for an apostilled document?

DHL Express usually offers the most consistent door-to-door tracking for international destinations, which matters for a one-of-a-kind apostilled original. FedEx or USPS can still work depending on the destination.

What exactly is a scanback and why does it matter?

It is a full scan of the document sent to the recipient before the original is shipped, so they can see it right away and you have a record of what was sent.

Can the apostille be removed to make the envelope lighter?

No. The apostille should stay attached to the document exactly as issued, since separating them can make the set unusable.

How long does DHL Express take to deliver an apostilled document?

It depends on the destination, customs processing and local delivery conditions, so no fixed number of days can be promised. Tracking shows real-time progress once the package ships.

What happens if the shipment is held at customs?

DHL usually contacts the recipient or sender directly. Responding quickly with the scanback and a plain description of the contents helps resolve it.
