Refinance closing at home: how a mobile notary signing actually works

When a title company or lender sends the refinance package to be signed at home, a mobile notary walks through each document, notarizes the mortgage, and returns the scanbacks and originals the same way the package arrived.

A refinance closing at home works much like a closing at a title office, except the notary comes to the borrower instead of the other way around. The title company or lender sends the full package in advance, a notary reviews it with every borrower at the appointment, the mortgage gets notarized, and the signed documents go back the way the sender specified, often as scanbacks followed by the originals.

Where the package comes from

In a refinance, the title company or the lender's closing department prepares the documents and sends them to the notary ahead of the appointment, usually the day before or the morning of. The notary is not the one drafting anything; the role is to confirm identity, walk through the package, and witness the required signatures exactly as instructed by whoever sent the file. If something in the package looks off, such as a name misspelled or a loan amount that does not match what the borrower expected, that gets flagged to the title company before signing, not fixed on the spot.

What happens during the appointment

  1. The notary confirms identification for every borrower on the loan.
  2. The package is reviewed page by page, following the sender's instructions on where to sign and where to initial.
  3. Every borrower signs in the notary's presence; the mortgage or deed of trust, the document that gets notarized and typically recorded, receives the completed notarial certificate.
  4. The notary scans or photographs the signed set, often called scanbacks, and sends them back right away so the lender can start reviewing before the originals arrive.

Who needs to be there

Every borrower named on the new loan generally needs to sign, which matters most when a spouse or co-owner was not closely involved in arranging the refinance. Confirm everyone's availability when you book, since rescheduling a refinance appointment around one missing signer can push the whole closing back. A New Jersey loan signing appointment is built around getting everyone in the same room at once, which is usually the point of doing it at home in the first place.

Preparing before the notary arrives

  • Have valid government issued photo identification ready for each signer.
  • Print a copy of the package yourself if you were sent one in advance, so you can read it before the appointment rather than during it.
  • Write down any questions about the loan terms for your loan officer or attorney beforehand, since the notary cannot answer those during the signing.
  • Clear a quiet table or desk where the whole package can be laid out and reviewed page by page.

After the signatures: scanbacks and originals

Most lenders want the signed package back in two steps: a scanned or photographed copy sent immediately so underwriting can confirm everything looks correct, followed by the physical originals shipped by the method the title company specified, often overnight. Keep your own copy of the full signed package, and hold onto the tracking information until the title company confirms the originals arrived. A refinance loan signing appointment is not complete, from the lender's side, until both steps are done.

What the notary will not weigh in on

A notary does not explain the new interest rate, the closing costs, or whether refinancing makes sense for your situation. Those questions belong with the loan officer who structured the deal or with your own attorney, and it is worth resolving them before the appointment so the signing itself goes smoothly. If anything in the package contradicts what you were told verbally, raise it with the lender before signing rather than after.

If the closing date moves

Refinance closing dates shift more often than people expect, sometimes because an appraisal comes in late or underwriting asks for one more document. If the title company pushes the date, let the notary know as soon as you hear, since a home appointment already booked for the old date needs to move too. It helps to keep a single point of contact, either the borrower or whoever is coordinating the file, so updates from the title company reach the notary without getting lost between several phone calls. A short delay rarely causes problems, but a signing that happens on the wrong date, before the final numbers are locked, can.

How TR Signing Group handles it

TR Signing Group conducts refinance signings at the borrower's home, reviewing the package against the title company's instructions, completing the notarization on the mortgage, and returning scanbacks that follow the title company's instructions, with timing confirmed per file, followed by the originals. The refinance loan signing service covers this process from start to finish, and a New Jersey loan signing appointment can bring every borrower together in one visit. FAQ

Questions we hear often

Who sends the refinance package to the notary?

The title company or the lender's closing department prepares and sends the documents ahead of the appointment. The notary reviews and witnesses signatures but does not draft anything.

Do both spouses need to be present for a refinance signing?

Generally yes, if both are borrowers on the new loan. Confirm everyone's availability when booking so the appointment does not need to be rescheduled.

What are scanbacks, and why do they matter?

Scanbacks are scanned or photographed copies of the signed package sent to the lender right away, so underwriting can review before the physical originals arrive by mail.

Can the notary explain my new interest rate or closing costs?

No. Those questions belong with your loan officer or attorney. Resolve them before the appointment so the signing itself goes smoothly.
