How to send original documents abroad from the U.S. without losing them on the way

Shipping a notarized or apostilled original from the United States to another country? Scan before it leaves, choose between DHL Express, FedEx and USPS, track it end to end, and describe it correctly for customs so it is not held up.

To send original documents abroad from the United States safely, scan everything first, ship with a tracked international courier or postal service, describe the contents plainly as documents for customs, and give the carrier a full address and a phone number for the recipient. For anything hard to replace, such as an apostilled certificate, a notarized power of attorney or a signed company document, a courier with door-to-door tracking is usually safer.

This guide covers preparation, carriers, customs and deadlines.

Before anything leaves: scan every page

Before an original is shipped, scan every page in color, including the back of pages with stamps, seals or an attached apostille certificate. Keep the scan where you can share it quickly.

  • If the package is delayed, the recipient can often start work from the scan while the original travels.
  • If something is questioned at arrival, you can see exactly what was sent.
  • If the package is lost, the scan shows what must be redone, by whom, and in what order.

Then check the original once more: every signature, date and initial in place, the notary's seal legible, the apostille attached, no staple removed. Separating an apostille from its document can make the set unusable.

Choosing a carrier: DHL Express, FedEx or USPS

The right carrier depends on the destination, the deadline, and how much tracking you need.

  • DHL Express has a strong international network and is often practical for Africa, the Middle East, Europe and Asia, with door-to-door tracking.
  • FedEx offers similar express services and works well for many destinations, especially business addresses.
  • USPS international services can suit less urgent documents. Once the package reaches the destination country, it usually passes to the local postal service, so tracking detail and speed can vary.

For one-of-a-kind originals and tight deadlines, use an express courier. For easily replaced copies, tracked mail may be enough.

Addresses and phone numbers: the details that stop deliveries

Many delays come from an incomplete address or a courier that cannot reach the recipient.

  1. Use the recipient's full name exactly as on their ID, since some couriers ask for ID at delivery.
  2. Include the full local address, with any district, building, floor or landmark the recipient uses.
  3. Add a phone number that works with messaging apps if possible, because couriers often call or message before delivery.
  4. For an office, embassy, university or bank, use the exact department and contact name given.
  5. Ask whether someone will be there during business hours or a pickup point is easier.

Customs for paper documents

Documents travel in a simpler category than goods, but must still be described accurately.

  • Describe the contents plainly, for example "signed legal documents" or "notarized certificates, no commercial value". Vague descriptions can trigger questions.
  • Send only documents. Adding a gift, a USB drive or other items changes how the package is treated.
  • Check the destination's rules: some countries have specific requirements for certain document types or require recipients to show ID. The carrier's guidance for the destination is the place to check.

If a shipment is held, the carrier usually contacts the recipient or sender. Answer quickly with the scan and a short description of the documents and why they were sent.

Planning around a deadline

Work backward from the date the recipient needs the original. Add time for printing, signing, notarization, and an apostille if needed. The New Jersey apostille guide covers that step for documents issued or notarized in New Jersey.

Share the tracking number as soon as the package leaves and follow it to delivery. If tracking stalls, contact the carrier early rather than waiting for the deadline.

When the original has to come back

Some documents travel twice: sent abroad to be signed, then returned. Plan both directions at once. Include a prepaid return label or clear return instructions, tell the signer which carrier to use, and have the return address ready. Our guide on printing, signing, notarizing and mailing from abroad walks through that round trip.

FAQ

Questions we hear often

Which carrier is best for sending original documents abroad?

It depends on the destination and the deadline. DHL Express and FedEx offer door-to-door tracking, while USPS international services can suit less urgent documents.

Do documents have to go through customs?

Shipments are still declared, but documents are usually handled more simply than goods. Describe the contents accurately and send only documents.

Should I keep a copy before shipping?

Yes. Scan every page in color, including seals and any attached apostille, so you have a full record if the package is delayed or questioned.

Can I separate the apostille from the document to make the envelope thinner?

No. Keep the apostille attached exactly as issued, because separating it can make the document unusable.

What if the package is held at customs?

The carrier usually contacts the recipient or sender. Reply quickly with the scan and a description of the documents, and follow the carrier's instructions.
