Notarizing U.S. documents from Poland: estates, family property and company paperwork

In Warsaw, Krakow or elsewhere in Poland with a U.S. document to sign? Compare the U.S. Embassy or consulate, a Polish notary and remote online notarization with a U.S. notary, with practical tips for heirs, families and tech founders.

If you are in Poland and need to notarize a U.S. document, you can usually choose between the U.S. Embassy in Warsaw or the U.S. Consulate General in Krakow, a Polish notary, or remote online notarization with a U.S. notary by video. The right route is the one the U.S. recipient accepts, so call the estate attorney, bank or company that sent the document first.

This guide covers the U.S. side and logistics only. For Polish formalities or use of documents in Poland, check with the Polish institution concerned or a local professional.

Why so many U.S. documents land in Poland

Many families have roots in both countries, and Polish engineers and founders often work with U.S. clients or run U.S. companies. The same requests keep coming back:

  • An estate in the United States: a relative passed away, and the estate attorney needs each heir to sign an affidavit, receipt and release, waiver or consent.
  • Inherited U.S. property: a house or apartment is being sold and every heir must sign the deed or authorize someone to sign.
  • Bank and insurance claims: a beneficiary claim form or account closure the U.S. institution wants notarized.
  • Company documents: a founder in Poland who is an officer or member of a U.S. company signing a consent, officer certificate or bank form.

Estates with several heirs: the coordination problem

Estate paperwork is where delays pile up. When signatures are needed from relatives in several countries, the slowest one sets the pace. A few habits help:

  1. Ask the attorney which format each document needs. Some may accept remote online notarization; a deed may need a paper original.
  2. Collect each heir's details early: full name exactly as on the passport, current address and a working email.
  3. Group the signings. Scheduling heirs in Poland on the same day keeps the file moving.

The attorney decides what each heir signs. TRSG handles the execution side: notarization, printing and shipping.

Option 1: the U.S. Embassy in Warsaw or the consulate in Krakow

The U.S. Embassy in Warsaw and the U.S. Consulate General in Krakow offer notarial services for documents intended for use in the United States. Recipients recognize this format, which suits strict instructions.

You will need an appointment, the unsigned document and your passport. For heirs in smaller towns, the trip can take a full day.

Option 2: a Polish notary

A Polish notary can certify a signature, which gives the U.S. recipient a foreign notarization. The recipient may ask for an additional certification, and the notary may want a translation or explanation of an English document. Confirm both points with the recipient and the notary before your appointment.

Option 3: remote online notarization with a U.S. notary

With remote online notarization, a commissioned U.S. notary notarizes your signature during a recorded video session. You confirm identity with your passport, sign electronically and receive the notarized document as a secure file the attorney or bank can use right away.

TRSG's remote notarization service for signers abroad checks acceptance with the recipient first, then schedules each signer. To see how identity is confirmed, read identity verification for remote signers.

When the deed or document must be on paper

Deeds and some bank forms still require wet ink. In that case:

  • the document is printed in the United States on U.S. Letter paper, single-sided;
  • the set is couriered to you with tracking and a return label;
  • you sign before the notary the recipient accepts, filling in every initial and date;
  • the original returns to a U.S. address where it is checked, scanned and forwarded.

The print, sign, scan and mail service handles that loop, and the international mailing service covers tracked shipping with DHL Express, FedEx or USPS. See sending original documents abroad from the U.S. for protecting originals in transit.

Practical points for signers in Poland

  • Time difference: Poland is several hours ahead of New Jersey, so an evening session in Warsaw is a midday session on the U.S. East Coast.
  • Polish characters: names with Ł, Ś or Ż are often written without diacritics in U.S. records. If the document and passport differ, ask the recipient how to handle it before signing.
  • Language: the documents are in English. Ask the attorney about anything unclear. The notary confirms identity and signature, not the document's meaning.
  • Founders: confirm your title and signing authority with U.S. counsel before the session.
  • Inheritance tax and Polish formalities: questions for an accountant or lawyer, not the notary.

How TR Signing Group handles it

TR Signing Group starts with the recipient's written instructions and confirms the route for each document. When remote online notarization is accepted, Tanim Raquib, a commissioned New Jersey notary public, holds sessions at convenient times in Poland through the international signer service, including back-to-back sessions for several heirs. When a paper original is required, TRSG prints, ships, checks and forwards it from the United States. Request a quote or book a free 15-minute call to plan the signatures.

FAQ

Questions we hear often

Can several heirs in Poland sign the same U.S. estate documents remotely?

Often, yes, if the estate attorney accepts remote online notarization. Each heir has a separate session with their own passport, scheduled close together.

Do I have to travel to Warsaw or Krakow?

Only if the recipient requires a consular notarization or refuses other formats. Ask the attorney or bank what they accept first.

My name has Polish characters but the U.S. document does not. Is that a problem?

It can be, depending on the recipient. Raise it with them before the session, since they decide how to handle the difference.

Can TRSG explain what an estate document means?

No. TRSG notarizes and handles logistics, so questions about content go to the estate attorney who prepared the document.

What if the deed must be signed on paper?

TRSG can print it in the United States, ship it to you with tracking, and check and forward the signed original when it returns.
