Notarizing U.S. documents from Switzerland: Bern, a Swiss notary or a U.S. notary online

Living in Zurich, Geneva or Basel with a U.S. document to sign? Compare the U.S. Embassy in Bern, a Swiss notary and remote online notarization with a U.S. notary, and learn how to choose based on what the U.S. recipient accepts.

If you are in Switzerland and need to notarize a U.S. document, you can usually go to the U.S. Embassy in Bern, sign before a Swiss notary, or join a remote online notarization session with a U.S. notary from your home in Zurich, Geneva or Lugano. What decides is not your canton but the U.S. bank, brokerage, title company or attorney receiving the document, so their written instructions come first.

This guide covers the U.S. side; for Swiss law or formalities, ask the receiving institution or a professional in Switzerland.

Who signs U.S. paperwork from Switzerland?

Switzerland has many Americans and dual nationals in finance, pharmaceuticals, research and international organizations, plus Swiss residents with U.S. ties. Their documents are mostly financial:

  • Brokerage and retirement accounts: transfers, beneficiary changes, address changes or closures the U.S. firm wants notarized.
  • Family and estate paperwork: an affidavit, consent or receipt for a parent's estate settled in the United States.
  • U.S. property: a condo or house kept after moving to Switzerland, now being sold, refinanced or rented through a manager.
  • Company documents: a Swiss resident who is an officer or member of a U.S. company signing consents, certificates or bank forms.

Financial institutions are often precise about format. Before booking anything, ask the sender how the signature must be notarized and whether a paper original must reach them.

Option 1: the U.S. Embassy in Bern

The U.S. Embassy in Bern offers notarial services for documents intended for use in the United States. Consular notarization is familiar to U.S. institutions, which makes it a safe choice when the recipient is strict or does not say what it accepts.

The limit is practical: an appointment, your passport and the unsigned document, often a trip to Bern during working hours. For someone in Geneva or Ticino with a demanding job, that can mean a day for one signature, and slots may be scarce near a deadline.

Option 2: a Swiss notary

A Swiss notary can certify your signature, but the result is a Swiss notarization on a U.S. form. U.S. documents usually carry a certificate written for an American notary, and a local notary may attach their own. The recipient may also ask for an additional certification to rely on a foreign notarization. Confirm which one, and how to obtain it in your canton, with both before you go.

This fits when the recipient wants paper and accepts a foreign notary, though you still ship an original to the United States.

Option 3: remote online notarization with a U.S. notary

With remote online notarization, a commissioned U.S. notary notarizes your signature during a recorded video session. You stay home, confirm your identity with your passport on the platform, sign electronically and receive the notarized file securely. Because the notary is American, the recipient sees a U.S. notarization, not a foreign one.

TRSG's remote notarization service for signers abroad starts by checking that the recipient accepts this format, then schedules a session that fits your day. The guide on identity verification for remote signers explains the identity step, useful if your passport is Swiss rather than American.

Not every recipient agrees. Some brokerages and county recording offices still want wet ink on paper. Ask, and keep the answer in writing.

When the recipient insists on a paper original

If paper is mandatory, the work is getting a clean set of pages to you and a clean original back. A common setup:

  1. The document is printed in the United States on U.S. Letter paper, single-sided, in the order the recipient expects. Swiss printers default to A4, and some recipients dislike rescaled pages.
  2. The printed set is couriered to you with tracking and a return label.
  3. You sign before the notary the recipient accepts: the embassy in Bern or a Swiss notary.
  4. The original comes back to a U.S. address, where it is checked page by page, scanned and forwarded.

The print, sign, scan and mail service handles the U.S. side of that loop, and the international mailing service covers tracked shipping with DHL Express, FedEx or USPS in both directions. The guide on printing, signing and mailing from abroad goes deeper into the wet-ink route.

Practical points for signers in Switzerland

  • Time zones: Switzerland is several hours ahead of the U.S. East Coast. A late afternoon session in Zurich matches a New Jersey morning.
  • Language: U.S. documents are in English. If you prefer German, French or Italian, read the document beforehand with someone you trust and ask the sender about anything unclear. The notary confirms who signs, not what the document means.
  • Names and passports: umlauts, accents and double surnames can differ between your passport, U.S. account and document, so raise mismatches before signing. Dual nationals should use the passport the recipient has on file.
  • Content questions: tax treatment of an account transfer or property sale is for your U.S. accountant or attorney, not the notary.

Choosing the route

  • The recipient accepts remote online notarization: usually fastest, with no trip to Bern.
  • The recipient requires a consular notarization: book the embassy early and plan travel.
  • The recipient wants paper and accepts a foreign notary: a Swiss notary plus any certification the recipient names, then tracked shipping.
  • The instructions are vague: ask for them in writing before anyone signs.

How TR Signing Group handles it

FAQ

Questions we hear often

Can I use a U.S. online notary while living in Switzerland?

Often, yes, if the U.S. recipient accepts remote online notarization. Confirm with them first, and ask a Swiss professional about the Swiss side.

Do I have to go to the U.S. Embassy in Bern?

Only if the recipient requires a consular notarization or refuses other formats. Many accept a remote U.S. notarization, so ask before booking.

My passport is Swiss, not American. Is that a problem for a remote session?

Usually not. A valid passport is the standard identity document for international signers, whatever the country of issue.

Will a Swiss notary sign the U.S. notarial certificate printed on my form?

It depends on the notary, and some prefer to attach their own certificate. Ask the notary and the U.S. recipient how they want it handled.

What if my brokerage needs the original on paper?

TRSG can print the document in the United States, ship it to you with tracking, then check and forward the signed original.
