Notarizing a U.S. document from Ireland: embassy, Irish notary or online with a U.S. notary

In Dublin, Cork or Galway with a U.S. document to sign? Compare the U.S. Embassy, an Irish notary and remote online notarization, and learn how to choose based on what the U.S. bank, attorney or employer will accept.

If you are in Ireland and need to notarize a U.S. document, you can usually use the U.S. Embassy in Dublin, sign before an Irish notary and add any certification the U.S. recipient asks for, or notarize online by video with a U.S. commissioned notary. The deciding factor is the U.S. institution receiving the document: what it accepts, and whether it needs a paper original.

This guide covers the U.S. side and logistics only. For Irish law, speak with an Irish solicitor.

Why people in Ireland end up with U.S. paperwork

  • Family estates in the United States. An aunt in Boston or a grandparent in New York passes away, and the estate attorney needs a notarized waiver, consent or affidavit from each relative, including cousins in Mayo and Kerry.
  • Returned emigrants. You worked in New York or Chicago, came home, and still hold a U.S. bank account, retirement plan or property. Closing or selling usually involves a notarized form.
  • Tech and pharma professionals. Equity plans, brokerage accounts and corporate filings can require a notarized signature from staff in Dublin, Cork or elsewhere in Ireland.
  • Founders and directors. An Irish company with a U.S. subsidiary, or a U.S. LLC run from Ireland, gets asked for resolutions, officer certificates and ownership declarations.

Whichever applies, get the U.S. recipient's instructions in writing before you sign anything.

Option 1: the U.S. Embassy in Dublin

The U.S. Embassy in Dublin can provide notarial services for documents meant for use in the United States. U.S. institutions widely recognize a consular notarization, so it suits a strict recipient. The trade-off is practical: you need an appointment, must travel to Dublin with your passport and the unsigned document, and availability may not match your deadline.

Option 2: an Irish notary, then the recipient's certification

An Irish notary public can witness your signature on a U.S. document. Because the notarization is Irish, the U.S. recipient may want an additional certification before relying on it. Which one, and how to get it in Ireland, depends on the recipient and Irish practice, so ask the recipient first and confirm the local side with the notary's office.

This route suits a recipient that wants a wet ink original and accepts foreign notarization. The original must then travel to the United States, so plan for courier time.

Option 3: remote online notarization with a U.S. notary

With remote online notarization, a U.S. commissioned notary verifies your identity on a secure platform, watches you sign during a recorded video session and notarizes the document electronically. The recipient receives a U.S. notarization, which often avoids the extra certification step for documents staying in the United States.

The remote notarization service for international signers begins by checking acceptance with the recipient, then books a session at a time that suits you. The guide on how to notarize a U.S. document from abroad gives the general comparison.

Not every recipient accepts it: some county recording offices have specific deed rules, and some banks or plan administrators still require ink on paper.

How to decide, based on the U.S. recipient

  • Estate attorney or probate matter: many attorneys accept remote online notarization for waivers and consents, but some courts have their own preferences. Ask which form the court expects.
  • Bank or retirement plan: ask for the institution's own form and notarization requirements. Some want a medallion stamp from a financial institution, which a notary cannot provide.
  • Title company or real estate sale: confirm whether the county will record an electronically notarized deed or needs a paper original.
  • Employer or corporate filing: the company's counsel usually states the format. Remote notarization is often fine.

Time zones and timing

Ireland is usually five hours ahead of New Jersey, though the two countries change clocks on different dates, which can shift that by an hour for a few weeks. A session in the early afternoon in Dublin falls in the morning on the U.S. East Coast.

  1. Check that your passport is valid and the photo page is readable.
  2. Make sure the name on the document matches your passport, including any Irish language form of your name.
  3. Find a quiet room and a stable connection; the session is recorded.
  4. Have the document ready as a clean, unsigned file.

When the recipient wants a paper original

Some recipients still need ink signatures. Then you receive the document, print it, sign it before a notary and courier it to the United States. The print, sign, scan and mail service prepares the package, and the international mailing service ships originals with tracking. Always scan the signed document first, so a lost envelope means a reprint, not a restart.

For the substance of the document, such as what a waiver gives up or how a sale is taxed, talk to the U.S. attorney or accountant. A notary confirms who signed, not what the document means.

FAQ

Questions we hear often

Can I use a U.S. online notary while living in Ireland?

Often, yes, if the U.S. institution receiving the document accepts remote online notarization. Confirm with the recipient before booking.

Do I have to go to the U.S. Embassy in Dublin?

Only if the recipient requires a consular notarization or rejects the other routes. Many attorneys, companies and banks accept remote notarization, so ask first.

What ID do I use for a remote session from Ireland?

A valid passport is the most practical choice. Make sure the name on it matches the name on the document.

My relative's estate is in the U.S. Does the notary explain what I am signing?

No. The notary confirms your identity and signature. The estate attorney is the right person to explain a waiver or consent.

What if the recipient needs the original on paper?

You sign a printed copy in front of a notary and ship it with tracking. TRSG can coordinate printing and international mailing, and you should keep a scan before it leaves.
