In Dubai, a U.S. document is usually notarized in one of three ways: at the U.S. Consulate General in Dubai or the U.S. Embassy in Abu Dhabi, before a UAE notary with whatever certification the U.S. recipient asks for, or online with a U.S. notary through a recorded video session. For many residents and companies, remote online notarization is simplest, if the recipient accepts it.
This guide is for UAE residents with U.S. property, accounts or family matters, and for companies moving documents between the UAE and the United States.
Two directions, two questions
- Signed in the UAE, used in the United States. A resident signs a deed, bank form, estate consent or company resolution for a U.S. institution. Which notarization does the recipient accept?
- Issued in the United States, used in the UAE. A U.S. certificate of formation, good standing or board resolution goes to a UAE bank, free zone authority or business partner. What certification does the UAE side require?
For the second direction, the answer comes from the UAE authority or bank, not a U.S. notary. The guide on apostille versus embassy legalization explains the two main certification paths so you can ask the right question.
Residents: signing U.S. paperwork from Dubai
Typical cases include an American family in Jumeirah selling a house in Texas, a British engineer in Dubai Marina with a U.S. brokerage account, or a professional named as heir in a U.S. estate.
The U.S. consulate or embassy
Consular notarization is recognized by U.S. institutions and suits strict recipients, but it needs an appointment and an in-person visit with your passport, which is hard to fit around a deadline.
A notary in the UAE
A local notary can witness your signature, but the U.S. recipient may want further certification before accepting it. Confirm with the recipient, and check local steps with a UAE professional.
Remote online notarization with a U.S. notary
You join a recorded video session from home or the office, verify your identity with your passport, sign electronically and receive the notarized file by secure link. Because the notarization is American, documents staying in the United States usually need no further step. The remote notarization service for international signers checks with the recipient first and schedules a time that suits Dubai.
Companies: corporate documents between the UAE and the U.S.
Companies face a heavier version of the same problem:
- A UAE holding company owns a Delaware or Wyoming subsidiary, and a U.S. bank asks its Dubai managers to sign and notarize resolutions or ownership declarations.
- A U.S. company opens a free zone entity, and the UAE authority asks for certified copies of its U.S. formation documents.
- A Dubai founder running a U.S. LLC must give payment providers incumbency certificates or signed consents.
The corporate and international documents service handles the U.S. execution side: preparing documents, signing and notarization, a New Jersey apostille when the document comes from New Jersey and the destination calls for one, and tracked courier shipping of originals. Founders still setting up may find the guide on forming a U.S. LLC from Senegal, Morocco or Dubai useful.
What the UAE authority requires, and whether legalization is needed after an apostille, is for that authority or your local advisor to confirm. TRSG does not give legal advice on UAE or U.S. law.
A checklist before you sign
- Ask the recipient, in writing, which notarization it accepts and whether it needs a paper original.
- Match your name on the document to your passport exactly. If you hold two passports, use the one the recipient expects.
- For company documents, confirm who may sign and in what capacity.
- Pick a time that works across time zones: late afternoon in Dubai is morning in New Jersey.
- If paper must travel, scan every page and use a tracked international courier.
Which route fits?
- Recipient accepts remote online notarization: usually fastest, with no consulate visit.
- Recipient requires consular notarization: book early in Dubai or Abu Dhabi.
- U.S. company document for the UAE: start from the UAE authority's list, then handle U.S. certification steps in the United States.
- Unclear instructions: pause, get them clarified, then sign.

Questions we hear often
Can I use a U.S. online notary while living in Dubai?
Often, yes, if the U.S. institution receiving the document accepts remote online notarization. Ask the recipient before booking.
Does a U.S. document need an apostille or legalization to be used in the UAE?
It depends on what the UAE authority or bank requires, so ask for their written list. TRSG can handle the U.S. side.
I hold two passports. Which one should I use for the session?
Use the passport whose name matches the document, or the one the recipient asks for. Raise any difference before the session.
Can TRSG obtain U.S. company documents for a free zone application?
TRSG can coordinate the U.S. execution side, including signing, notarization, New Jersey apostilles where relevant and shipping. The free zone authority decides what it accepts.
Can several company managers sign from different countries?
Usually, yes, in separate remote sessions, if the recipient accepts remote notarization for each signature.
