Notarizing U.S. documents from Belgium: a practical guide for expats and families in Brussels

Posted in Brussels or living in Belgium with U.S. paperwork to sign? Compare the U.S. Embassy, a Belgian notary and remote online notarization, and see how to handle powers of attorney, consents and recurring requests during a posting.

If you are in Belgium and need a U.S. document notarized, your options are a notarial appointment at the U.S. Embassy in Brussels, a Belgian notary, or remote online notarization with a U.S. commissioned notary by video. The receiving U.S. institution decides which it accepts, so ask first.

Brussels has a large international community of organization staff, diplomats' families, multinational employees and Belgians with U.S. ties. Many face a series of documents, not just one. This guide covers the U.S. side and the logistics; for Belgian law or Belgian use of a document, ask a professional in Belgium.

Documents that follow you on a posting

People on assignment tend to see the same requests come back:

  • A power of attorney so a relative or U.S. attorney can sell a car, manage a rental property or deal with a bank while you are away.
  • Consents involving children, such as parental consent for a child to travel in the United States with a grandparent, or a school or medical authorization.
  • Property and account documents: a refinance, a lease renewal for a home you rent out, a change of beneficiary form.
  • Affidavits for a U.S. insurer, a court or a family member's estate.

If a posting is coming, signing a broad power of attorney before you leave can save many separate notarizations later. Whether that is appropriate, and what it should cover, is a question for your U.S. attorney. The guide on apostilles for a power of attorney also covers the reverse case, when a U.S. power of attorney must be used outside the United States.

Option 1: the U.S. Embassy in Brussels

The U.S. Embassy in Brussels offers notarial services by appointment for documents for use in the United States, and U.S. banks, courts and attorneys widely recognize them. Belgium is compact, so the limits are appointment availability and the need to bring your unsigned document and passport. Check the embassy website for how to book, and ask your employer's relocation or HR team about any internal channels.

Option 2: a Belgian notary

A Belgian notary (notaire in French, notaris in Dutch) is a legally trained public official with a broader role than a U.S. notary public. The office works in French, Dutch or German, so added wording may not be in English. Some U.S. recipients accept a Belgian notarization directly; others want an additional certification or an English translation of the notarial wording.

Confirm with the recipient what it needs, and with the notary's office how it handles foreign documents. This route suits recipients that want paper and accept a foreign notary.

Option 3: remote online notarization with a U.S. notary

With remote online notarization, a U.S. commissioned notary notarizes your signature during a recorded video session. You confirm your identity on the platform with your passport, sign electronically, and receive the notarized document as a secure file. Everything happens in English, with a U.S. notarial certificate the recipient will recognize.

For recurring paperwork this is often the most convenient route: no appointment hunting, and a session fits around a working day. The remote notarization service for signers abroad checks acceptance with each recipient first. For a comparison that applies to any country, see notarizing a U.S. document from abroad.

Some recipients, such as certain motor vehicle agencies or county recorders, may still ask for wet-ink paper. Ask before you rely on an electronic notarization.

When the original has to travel

Vehicle titles, some bank forms and documents for recording often need a paper original. The steps:

  1. Print the exact version the recipient sent, on U.S. Letter if requested.
  2. Sign only in front of the notary, in the ink color requested.
  3. Scan every page right after signing.
  4. Ship by tracked courier and send the tracking number to the recipient the same day.

The print, sign, scan and mail service organizes printing and the scanned record, and international mailing covers tracked shipping between Belgium and the United States, including a prepaid return when the recipient sends you an original to sign.

Practical points for signers in Belgium

  • Identity. Use your passport. A Belgian residence card or organization ID is usually not enough for a U.S. remote session.
  • Diplomatic and organization IDs. With a special or diplomatic passport, mention it before the session so identity checks can be confirmed in advance.
  • Time zones. Belgium is usually six hours ahead of the U.S. East Coast, so the end of your working day is U.S. late morning.
  • Keep a log. On a long posting, note what you signed, when, and where the original went.

For what a document means, such as a power of attorney's scope or a consent's effect, speak with your U.S. attorney. Notarization confirms who signed, not what the document says.

FAQ

Questions we hear often

Can I use a U.S. online notary while posted in Brussels?

Often, yes, if the U.S. recipient accepts remote online notarization. Confirm with them first, and check any rules your employer or organization may have.

Will a U.S. institution accept a document notarized by a Belgian notary in French or Dutch?

Some will; others ask for an additional certification or an English translation of the notarial wording. Ask the recipient before you book.

Should I sign a power of attorney before moving to Belgium?

It can save time later, but its scope is a legal decision, so discuss it with your U.S. attorney first. You can then have it notarized before you leave or remotely once you are there.

Can I use a diplomatic or special passport for a remote session?

Mention it before booking so the identity check can be confirmed in advance. A regular valid passport is the simplest option.

What if the recipient needs a paper original?

TRSG can arrange printing, signing and tracked shipping to the United States. Keep a scan of every page before the original leaves.
