Notarization

Notarizing a document without a printer or scanner: what actually happens

No printer, no scanner, and not comfortable opening a PDF: how a document sent by email gets printed and explained for you, which sessions need no printing at all, and when a home visit is the simplest path to a notarized, signed document.

You do not need a printer or a scanner to get a document notarized. The document can be printed for you, the session can be explained in plain language over the phone first, and most of the paperwork around it can be handled without you ever opening a PDF on your own.

This guide is for anyone stuck at the point where a document arrived by email and nothing in the house can print it, not only for seniors, though many of the questions come up most often with older clients and their families.

What happens to a document that only exists as an email attachment

If a bank, an employer or a relative sent you a document as a PDF, you can usually forward that email as it is, with no need to open, resize or save the attachment yourself. Once received, the file can be reviewed, printed and prepared ahead of your session, so the only thing left for you to do is show up and sign. If the document arrived as a photo on your phone instead of an email, that works too, as long as every page is readable.

Signing without any printing at all

Some documents never need to leave a screen. During a remote online notarization session, you can review the document on the same video call, sign it electronically in front of the notary, and receive the completed file afterward, all without touching a printer. This works well when the receiving party accepts an electronically signed and notarized file rather than a paper original with a wet signature, which is increasingly common for banks and government agencies that work with documents digitally.

When the receiving party wants a paper original

Some institutions still want ink on paper, mailed to them directly. In that case, the document can be printed ahead of an in-person visit, signed and notarized on paper, and mailed from here, so you still never need a printer of your own. The print, sign, scan and mail service exists for exactly this situation, whether the original needs to travel across town or across an ocean.

Walking through the document together, step by step

Discomfort with PDFs is often less about the file format and more about not knowing what a document is asking for. Before any session, the document can be read aloud with you over the phone, page by page, so you understand each blank before anyone fills one in. Our guide on how notary help works for seniors describes this first conversation in more detail, including what family members usually ask on that call.

When a visit solves the problem better than any instructions

If reading a document over the phone still leaves questions, a home or office visit lets the notary bring a printed copy, explain it in person, and handle the signing in the same sitting. A visit also removes the pressure of a screen entirely: nothing to scroll through, nothing to click, just paper, a pen and a conversation. This tends to be the easier path for anyone who finds a laptop more stressful than the document itself. In and around Bayonne and Jersey City, a mobile visit can often be arranged for the same week; our guide on mobile notary visits in Bayonne and Jersey City covers how that booking works for a single document, separate from the printer question covered here.

If the document has several pages, or several signers

A longer document, such as a multi-page agreement or a form with more than one signer, does not change the approach: every page still gets printed and read through ahead of time, and each signer can join the same call or the same visit in turn. Pages are checked against each other first, so a missing initial or an out-of-order page gets caught before anyone sits down to sign.

What to prepare, printer or not

  • A valid, unexpired photo ID that matches the name on the document.
  • The sender's email or a clear description of what the document is, if you are not sure.
  • A phone number where you can be reached before the session, in case a page needs a closer look first.
  • A quiet room for the call or the visit, since a notary needs to hear you clearly and confirm you understand what you are signing.

Do I need to print the document myself before the session?

No. You can forward the email as it is, and the document can be printed and reviewed ahead of your session.

Can a document be notarized without any printing at all?

Yes, during a remote online notarization session the document is reviewed and signed on screen, provided the receiving party accepts an electronic file.

What if the receiving party insists on a paper original?

The document can be printed, signed on paper during a visit, and mailed, so you still never need your own printer.

Can someone explain the document to me before I sign?

Yes, the document can be read through over the phone before any session, page by page, so nothing is signed without understanding it.
